General Information


Acknowledgement & Communication

  • All communication with registered delegates will be by email.
  • All registrations will be send a confirmation letter from Kaigi Conferencing & Events including a tax invoice withing two (2) working days of submitting a registration form for SOUL 2026.
  • If you do not receive the email, please check your spam folder prior to contacting Kaigi.
  • If your email address has changed since completing the registration form, be sure to advise your new email address to Kaigi.

Cancellation policy & refunds

  • All cancellations and requests for refunds must be made in writing to soul@kaigi.com.au.
  • Any changes to your registration or optional bookings will not be accepted over the phone. Please email changes to soul@kaigi.com.au.
  • If you are unable to attend the conference after submitting your registration, you can nominate a substitute. All substitutes names are to be recieved via email to soul@kaigi.com.au.
  • Cancellations made on/before XXX will receive a refund less a $100 administration fee.
  • Cancellations made after XXX will not receive a refund. Exceptions are at the discretion of SOUL.
  • Refunds will not be issued until after the conference.
  • Refunds will not be given for non-attendance.

Payment

  • All payments must be received prior to the conference.
  • All fees and costs quoted are GST inclusive.
  • Tax invoices will be issued following receipt of registration.
  • VISA, Mastercard and AMEX are accepted. Please note that when you pay by credit card SS Events Group Pty Ltd will appear on your statement.
  • All payments will be processed through EWAY payment gateway.
  • Credit card payments can be made online or over the phone. Please note credit card payments attract a 2% fee. This fee will be added to the amount showing once you select your card type.
  • Details of EFT payments will be provided on your tax invoice. Please reference the payment with your name and invoice number and ensure you send a remittance to soul@kaigi.com.au.

Privacy

  • A list of participants will be produced, including individual's details such as name, organisation and state. You will be asked for permission for your details to be included when you register.
  • SOUL 2026 is being operated in accordance with the General Data Protection REgulations (GDPR) which came into affect on 25 May 2018.
  • Therefore, before you begin your registration, you will need to give consent for your data to be used in facilitating your event registration, as well as in the planning and implementation of the conference (e.g. providing dietary requirements to conference venues and accommodation booking details to the specified hotel).
  • This request for data consent is in accordance with GDPR and represents our commitment to protect the privacy of all personal data you provide during the registration process.

Dietary & Special Requirements

  • Morning, afternoon teas and lunches are included in your registration.
  • Upon registration you will be asked to provide any dietary/special requirements (e.g shellfish allergy, vegetarian, mobility etc). Dietary requests will be catered for to the best of the caterer's ability.
  • Individuals with severe allergies are requested to advise Kaigi of their requirement prior to the conference, and bring any allergy medication (EpiPen, Phenergan etc) as prescribed by your doctor to the conference and any associated function.
  • Whilst due care is taken by the organisers and caterr, individuals must take primary responsiblity for their own health.

Insurance

  • Registration fees do not include insurance of any kind.
  • It is strongly recommended that participants take out their own general travel insurance. It is suggested the insurance policy should cover loss of fees/deposit, airfares, accommodation charges, medical expenses, loss or damage to personal property and repatriation expenses.
  • The conference and organisers do not take responsibility for any delegate failing to insure.

Disclaimer

  • The conference information is correct at the time of publishing. However, the organisers reserve the right to change the information where necessary without notice.
  • In the event of industrial disruptions, the conference and organisers accept no responsibility.

Photography and Videography

  • Your image may be photographed or filmed at any time throughout the conference and social functions.
  • SOUL may use, publish or reproduce your image or recording of you in any form of external or third party published communication material.
  • SOUL may also use your image or recording of you to report on its events through its own publications and resource material.

Registration Desk

  • The registration and information desk will be open for the duration of the conference and will serve as your main point of contact for all enquiries.
